Office Manager, Boston

Swift Current Energy, a renewable energy project developer and owner (the “Company”) is seeking an Office Manager to support the headquarters office in Boston MA. The Office Manager plays a central role in supporting the Company’s various teams and functions that are based out of Boston, while building a welcoming, connected, and enjoyable working environment for those who work here day-to-day or who visit from other sites.

Job Scope:

The primary responsibilities of the Office Manager include the following:

  • Serve as the first point of contact for all visitors to the Boston office, providing the same level of service and welcoming tone to all guests 
  • Support special events, board meetings, offsite dinners, organize hotel room block arrangements and other office-based gatherings on a periodic basis 
  • Facilitate in-office meeting schedules and conference room reservations, including oversight of videoconferencing equipment 
  • Support the HR team in new hire onboarding, including completion of employment verification forms, set-up of desks/offices, provision of IT equipment, procurement of building passes, and introductions to the office and colleagues 
  • Manage and book travel arrangements for executive team members, utilizing our online booking tool and coordinating with travel agents 
  • Manage and file monthly expense reports on behalf of executive team members using our online expense system 
  • Coordinate complex scheduling and calendar management Collaborate with colleagues on Company-wide initiatives, such as coordinating conference attendance, travel plans or holiday gatherings 
  • Organize periodic team-building events, from catered lunches to after-work gatherings 
  • Productively respond to colleagues’ inquiries around office or building matters 
  • Liaise with building management and the building security group on an as-needed basis, including registering guests to the office 
  • Ensure the office kitchen is well-stocked with beverages, snacks and related supplies 
  • Monitor and order office supplies on an as-needed basis 
  • Serve as the primary point of contact for all deliveries of packages, mail, etc. to the Boston office 
  • Manage the in- and out-flow of mail for the Boston office and Company at large, including information relevant for individuals or teams of critical mailings and notices 
  • Support the accounting and bill payment process as required 
  • Ad hoc tasks as required from time to time

Qualifications:

  • Minimum of three (3) years’ experience working in a professional office setting, preferably in the legal, finance, or related industry 
  • Prior office management or executive administrative support experience in a fast-paced, dynamic environment is strongly preferred 
  • Comfortable interacting at C-Suite level and with external counterparties in a professional and polished manner 
  • Prior experience with calendar, travel, and expense management 
  • Proficient in Microsoft Office Suite products, SharePoint and Smartsheet 
  • Bachelor’s degree is preferred, but not required 
  • Active Notary is preferred, or willingness to be certified 
  • Current authorization to live and work in the U.S.
